Procurement Officer

The Procurement Officer supports the centralized procurement process by assisting in the purchase of goods and services for the company. This role focuses on maintaining procurement records, analysing spend data, and providing recommendations for cost-effective purchasing strategies.

The Procurement Officer will work closely with the Treasury Team Leader to ensure transparency in procurement activities, enabling informed financial decisions.

The role requires strong stakeholder management, with an emphasis on building positive relationships both internally and externally.

Key Responsibilities:

  • Assist in the implementation and management of a centralized procurement process, ensuring all purchase requests go through the approved channels.
  • Monitor and track spending patterns, helping to ensure financial visibility across procurement activities
  • Build and maintain strong working relationships with all internal
    departments to understand their procurement needs and ensure timely service delivery.
  • Support the procurement process by regularly communicating with suppliers to confirm orders, negotiate terms, and ensure timely deliveries
  • Help maintain up-to-date contracts, purchase agreements, and supplier records within the centralized procurement system
  • Provide support to the Treasury Team Leader by contributing to procurement-related financial planning, cost-saving initiatives, and other procurement-related projects.
  • Provide recommendations based on spend analysis, helping to optimize procurement processes and identify potential cost-saving opportunities.
  • Schedule and execute timely payments to vendors, including checks, electronic transfers, and reconciliations of payment discrepancies.
  • Review, verify, and process invoices from vendors and suppliers, ensuring accuracy in amounts and terms before initiating payments.
  • Assist Treasury department with accounts payable activities and other ad hoc activities provided by the treasury team lead

Qualifications and Skills:

  • Bachelor’s degree in Economics
  • Proven experience (typically 1-3 years) in procurement or supply chain management roles.
  • Proficiency in Microsoft Excel and procurement systems (ERP, spend management software) for data tracking and reporting.
  • Experience with accounting software Xero is preferred but not a must.
  • Solid understanding of centralized procurement processes, purchasing regulations and basic financial principles related to procurement.
  • Work experience in international companies
  • Strong negotiation and contract management skills. Ability to manage multiple projects and work under tight deadlines
  • Strong work ethic, negotiation skills, analytical and problem-solving skills, and attention to detail.
  • Strong English communication skills
